Version 1.0 · 10-10-2026. This statement explains which personal data Sebas BV processes through this website and the client portal, why, for how long, and what your rights are.
1. Who is responsible?
Sebas BV, Burg. J. van Aperenstraat 21, 2320 Hoogstraten, company number BE1000.922.214, is the controller of your personal data. Questions about privacy can be sent to info@sebas.be or +32 494 21 83 25.
2. Which data, for what purpose and on what basis?
Project request
When you complete the request form, we process your name, organisation, e-mail address, phone number and the details of your project (location, sector, area, desired output, frequency, preferred date and your description). We use them to answer your request and prepare a proposal. Legal basis: steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR).
A request is deleted automatically after 24 months. If it leads to an assignment, we keep what is needed to carry it out and for as long as the law requires for accounting.
Contact by e-mail, phone or WhatsApp
We process the data you send us in order to reply and follow up the assignment. Legal basis: our legitimate interest in answering questions, or the performance of a contract.
Client zone and client portal
Clients with an account get access to their projects, 3D viewers and downloads. For this we process name, e-mail address, organisation, a secured password (we cannot read it ourselves) and an access log: when you sign in and which projects you view. Purpose: to show your projects securely and only to you. Legal basis: performance of the contract. The access log is deleted automatically after 12 months; your account remains as long as you have access.
Visiting the website
We keep anonymous visitor statistics (which pages are visited, where visitors come from) without cookies and without tracking you across other websites. These statistics are stored on our own server and are not shared with third parties. To secure the website, the server records technical data such as your IP address and time of visit; these are kept briefly. Legal basis: our legitimate interest in a secure, well-functioning website.
Project images
Drone captures show sites, buildings and events; we avoid recognisable people. If you recognise yourself in an image and do not want this, let us know: we will blur or remove the image.
3. Who receives your data?
We never sell or rent your data. We work with service providers for hosting, e-mail and a secure connection; they only process data on our instructions and under data processing agreements. The website and e-mail are hosted by Hostinger, on servers in the European Union. The client portal runs on our own server in Belgium.
3D viewer and maps. Only when you open a 3D viewer or map does your browser load map images from Digitaal Vlaanderen, OpenStreetMap or, if you choose that layer, Esri (United States). These services see your IP address.
4. Transfers outside the European Union
Your data stays in the European Union, except when you choose an Esri (US) map layer in the viewer yourself.
5. Your rights
You have the right to access, rectify or erase your data, to restrict processing, to object and to data portability. Send your request to info@sebas.be; you will receive a reply within one month. If you are not satisfied, you can lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be.
6. Security
The website and client portal only work over a secure connection (https). Access to the administration is restricted and protected with a second sign-in step; backups are made regularly.
7. Cookies
This website only uses cookies that are needed to sign in. More in the cookie policy.
8. Changes
If anything in this statement changes, we update the version number and date at the top.
